The Ultimate Wedding Planning Checklist

Wedding planning can be overwhelming, but it doesn’t have to be. We’ve put together the ultimate wedding planning checklist to help you plan your big day like a pro. From finding the perfect venue to nailing down your guest list, this wedding planning checklist covers everything you need to do to make your wedding day unforgettable. So grab a cup of coffee and get ready to start planning the best day of your life!

Let's talk about your wedding planning timeline.

Start by setting an overall timeline for your wedding planning. Figure out how long it will take you to plan and book all the necessary elements, such as catering, entertainment, and accommodations. Make sure you give yourself plenty of time to complete tasks like addressing save-the-dates and invitations so you don’t feel rushed or stressed out. There is a lot you can do months before the wedding to ensure smooth sailing, well as much as one can hope for anyway.

Set a budget and figure out who is paying for what

When it comes to wedding planning, one of the most important things you can do is set a budget and figure out who is responsible for paying for what. There are numerous wedding expenses to consider, including wedding floral arrangements. So, if having wedding flowers is important to you make sure the budget takes into account their cost. Ultimately, getting everyone on board and having conversations about where to allocate funds will help ensure that all involved in wedding planning are comfortable with the decisions made. This is the hardest part of the wedding planning checklist but its the most important, you got this!

Choose a Wedding Planner

If you don’t have the time or experience to plan your wedding on your own, consider hiring a professional wedding planner. A wedding planner will be able to help you create a timeline and budget, as well as find vendors and manage the day-of details. Do some research and look for recommendations from friends and family before making a decision. Wedding planning can be really overwhelming so having a clear planning process will make everything much easier.

Choose a Venue

Once you have a budget established and your wedding planning in place, it’s time to start looking for the perfect venue. From hotels to barns, venues come in different styles and sizes. Consider what type of atmosphere you want on your big day and how many people will be attending before choosing your venue. Make sure to visit a few in person and read reviews before making your final selection.

Choose Your Guests

Now that you have the venue picked out, it’s time to start creating your guest list. Think about who you want there to celebrate with you and don’t forget to consider family obligations and traditions. Also, make sure you know what type of seating arrangements and table sizes your venue offers so you can plan accordingly. You can also decide whether you want to invite kids.  If you’re inviting children, be sure to have some activities on hand to keep them entertained. Finally, make sure you send out your invitations at least six weeks before the event so all of your guests can plan ahead.

Choose the date and time of the wedding

Getting the date and time of your wedding right is key. Be sure to check the availability of your venue, as well as any other important factors such as religious holidays or seasonal weather. You’ll also want to book your vendors in advance so they have plenty of time to prepare for your big day.

Hire Vendors

Once the guest list is done, it’s time to start thinking about vendors. From caterers to photographers, vendors play a big role in making your wedding day special. Research online and ask for referrals from your planner and other married couples to make sure you find the best vendors for your needs.

Decide on a theme or color scheme for the wedding

One of the most exciting wedding decisions is choosing your wedding theme or color scheme, which can be just as fun for you and your partner. Consider going through wedding flower options together to see what colors and combinations inspire you both! If one wedding flower stands out to you in particular, using its color palette as a jumping-off point to build the rest of your wedding decorations around it is an enjoyable way to tie everything together. Themes don’t have to be complicated either; if you and your partner are foodies, why not use that shared interest as a base to carry throughout the wedding? From wedding favors to table names, there are plenty of fun ways for couples to express their unique personalities on their special day.

Send out save-the-dates to guests

If you are planning a wedding, it is important to make sure that those who will be your wedding party and special guests save the date! Sending out save-the-dates months before the wedding ensures that everyone in attendance can plan ahead, making the wedding day even more wonderful. It’s an easy and kind way to remind your wedding party and close family and friends that you are looking forward to celebrating with them. Don’t forget to send your save-the-date cards soon; they’re an essential part of any wedding celebration!

By the way, I do that too!

Book a photographer and videographer

Capturing your wedding in photos and on video is one of the most visually rewarding wedding planning tasks. To ensure you get the best wedding photos and wedding video possible, it’s important to book a wedding photographer and videographer who is the right fit for you so they can help preserve your wedding memories in creative and beautiful ways. Choosing a wedding photographer or videographer can be overwhelming, which is why it’s essential to find someone trustworthy who has experience capturing wedding day moments with care. When you hire an experienced wedding photographer or have an experienced wedding videographer create a video of your day, you’re investing in more than just still images and footage – you are ensuring that your wedding style and memories will last forever.

Hire a band or DJ for the reception

Planning for a wedding reception can be incredibly daunting, but one way to make it easier is to hire a band or DJ. This allows wedding planners to sit back and enjoy their special day, with the music selection taken care of by professionals. Not only will the wedding party have an amazing range of music available, but they can also be guaranteed high-quality sound and entertainment. With the help of the perfect band or DJ, wedding planning becomes easy and fun!

Choose a wedding party

Another exciting part of wedding planning is choosing your bridesmaids and groomsmen. Ask family and close friends to be in the wedding party – it’s a great way to show them how much you appreciate their support! When selecting members for the wedding party, make sure that everyone chosen has enough time to dedicate to pre-wedding planning tasks, and is comfortable in the role they’ve been assigned. Having a team of helpful friends and family members makes wedding planning much less stressful!

Choose a caterer

Catering is a critical component of any wedding, maybe not as important as the weeding dress but pretty close. Not only does the food need to be delicious, but it must also accommodate guests with dietary restrictions and preferences. You should start by deciding whether you’d like to have a formal or informal reception, a buffet-style or plated meal and if there will be an open bar. Once you have those details sorted out, you can start interviewing caterers and comparing pricing. Make sure to ask for sample menus and references before selecting a vendor!

Here comes my favorite part, of course…

Start thinking about wedding flowers

Wedding flowers are one of the most important details of your special day. From classic roses to exotic orchids, you can have fun deciding which blooms will complement your ceremony and reception décor. With the right florist, you can create eye-catching arrangements that make a big statement on the big day. Just remember to focus on your wedding colors and style when selecting your flowers; this will create consistency throughout the event.

You can also discuss with your florist the flowers you’d like for the bridal bouquet, boutonnieres, and corsages. This ensures that you’ll have the perfect flowers for all of your important people! Don’t forget to ask about flower preservation services; this way, you can keep and cherish your bouquet for years to come.

Be sure to factor in the cost of the flowers when budgeting for your wedding. The type and amount of blooms you choose will have a large impact on your final price. Consider utilizing seasonal flowers, which can be less expensive than exotic or out-of-season varieties. Planning ahead will help make this an enjoyable part of wedding planning.

Once you’ve decided on your flowers, enjoy the process of creating stunning designs that will light up your special day! With the right inspiration and a professional florist, your wedding flowers can be beautiful and meaningful—and an unforgettable part of your big day.

When planning your floral arrangements, it’s important to factor in delivery times and setup. Some florists may require a few days lead time for larger orders, so make sure you know when and where the flowers need to be delivered. Your florist can also help with venue setup; they’ll be able to provide advice and guidance on how to best display your flowers.

Finally, don’t forget the little touches! Ask about flower crowns for the bridesmaids and boutonnieres for the groom and groomsmen. These small details will make your wedding extra special and memorable. With a little help from your florist, you can make sure that your wedding flowers look beautiful and last all night long. Good luck!
